Position description: The National Latina Institute for Reproductive Justice (Latina Institute) is seeking an individual who is passionate about social justice for the HR Associate position within the HR team that is part of the Executive Department of Latina Institute. The HR Associate will provide support to the HR team in provision of service to Latina Institute employees and provide administrative support to the benefits manager and the HR Director. This is a non-exempt position working 40 hours a week and should be able to commute to our NYC office.

Responsibilities Include: 

  • In conjunction with the HR team, review organizational policies and procedures on an annual basis and support the distribution of the personnel handbook/policy procedures manual and benefits summary document.
  • Assist in administering and managing employee leaves of absence
  • Assist Benefits Manager with Open Enrollment process
  • Assist in troubleshooting any discrepancies with HRIS and other vendors/insurance carriers
  • Audit monthly insurance carrier invoices (Medical and Dental) and submit to Benefits Manager for final review
  • Audit staff PTO, sick time and other staff time off 
  • Assists with recruitment, staff performance evaluation, on-boarding, and off-boarding processes
  • Maintain and update HRIS (ADP Workforce Now) and employee files with employee change requests and process this paperwork
  • Organize trainings, events, or meetings by arranging virtual and in-person meeting rooms, interpretation, issuing invitations and meeting materials, drafting, and distributing staff communications 
  • Respond accurately and professionally to staff inquiries
  • Assist with payroll processing and management, as necessary
  • Assist with personnel concerns, as necessary
  • Assist with project implementation, as necessary
  • Support in updating other HR policy documents and paperwork, as necessary. 
  • Other responsibilities and duties as are customarily performed by HR associates  and, on occasion, duties and responsibilities assigned to you by the HR Director, Managing Director or the Executive Director.

Qualifications Required: 

  • At least 1-2 years of secretarial/administrative or related experience preferred.
  • 3 years of Human Resource experience required.
  • Familiarity with HRIS software.
  • Ability to respond to changing situations with flexibility to meet current needs, such as reprioritizing work as necessary.
  • Ability to set priorities, multi-task, and meet deadlines.
  • Ability to take initiative and complete tasks independently.
  • Must have excellent written and verbal communication skills.
  • Must have strong interpersonal skills.
  • Must have strong organizational skills.
  • Bilingual (Spanish-English) preferred.
  • Able to handle sensitive and confidential information with appropriate discretion and judgment.
  • Must demonstrate a high degree of accuracy and attention to detail.
  • Experience in MS Suite (Outlook, Excel, Word, Teams, Powerpoint, Sharepoint) at least at the intermediate level.

Salary & Benefits: $50,000-$60,000 and will be commensurate based on experience. Our comprehensive package of benefits includes:
